System Generated Emails Overview

The System Generated Emails section manages settings related to automated emails sent from PortPro associated to invoicing. Watch this tutorial walkthrough to learn more. 







Configuration Settings

  • Controls how invoicing emails are set up and formatted.

  • The @ symbol can be used in the subject line to dynamically pull load details (e.g., container number).

  • A CC field is available to automatically include additional recipients—such as an internal accounting inbox.

Expiry Notifications 

Expiry Notifications help ensure compliance by automatically alerting users about upcoming expiration dates related to drivers and equipment.

  • Sends automated email reminders based on expiration dates listed in driver or equipment profiles.

  • The notification timeframe (e.g., how many days in advance the email is sent) can be fully customized.

  • Helps prevent lapses in compliance and keeps teams informed of renewals.




Email Templates

The Templates section allows users to configure the format and content of automated emails sent from PortPro based on specific conditions.

  • Supports both Accounting Templates (e.g., aging balance reminders to clients) and Load Templates.

  • Templates can be customized to match branding and communication preferences.

  • Common load-based template scenarios (e.g., status updates or delivery confirmations) are covered in the video above.

  • Helps streamline communication and maintain consistency across client interactions.



Email Template Tags and Grouping

Templates in PortPro offer flexible customization and organization features to optimize automated email communication:

  • Tags can be inserted into email subject lines and bodies to dynamically pull load or client information.

  • Template Groups allow users to bundle multiple templates together for easier assignment to records.

  • Templates must be added to a Record to trigger sending, specifying the customer email recipients.

  • For loads without delivery (e.g., one-way moves), customization in the Advanced section is required to properly configure email behavior.
