Waiting Time Audit

What is the purpose of the Waiting Time Audit?

  • To allow the user to see/audit the time that the driver was at a certain location. Then give them the tools to easily charge their customers and pay their drivers.

What does the Waiting Time Audit consist of?

  • The data we are showing is broken down by 3 events (Pick, Deliver, Return). The event must be completed in order to show.

  • We also display the driver that completed that event. The location of that event. The arrival and departure times of that event.

Where does the 'Time Spent' come from? Can I edit this?

  • Yes, the 'Time Spent' is taken from the 'Routing' page. It consists of the Arrival and Departure times for said event. So if you adjust the times in the routing, it will be reflected here.

How do I add charges?

  • If you click 'Add to Charge Set', the module will display the fields to enter the charges at the top. At the bottom, it will display all the current charges from the loads default charge set.

  • When you start to enter your charges, you should select the 'Unit of Measure' first. The reason being, based off this selection we will auto generate the 'Unit Count' for the user.

    • The 'Unit Count' is calculated based off the 'Time Spent' column of that event. (Time Spent/Unit of Measure = Unit Count)

      • Example

        • Ex 1: 'Time Spent' = 2 hours, 'Unit of Measure' = per hour. We would generate the 'Unit Count' = 2

        • Ex 2: 'Time Spent' = 2 hours, 'Unit of Measure' = per 30 mins. We would generate the 'Unit Count' = 4

        • Ex 3: 'Time Spent' = 2 hours 20 mins, 'Unit of Measure' = per hour. We would generate the 'Unit Count' = 2.33

  • Since the Unit Count is auto-generated, the user would then only need to enter 'Free Time' (if applicable) and 'Per Unit'. Once they hit 'Apply' it will be added to the charge set and will show in the 'Billing' tab within the load.

  • Once a charge is added the icon will change to 'Review'

    • The user can click this to see the charges. They won't be able to add another charge for the same event from this page once they have added one already.

How do I add driver pay?

  • If you click 'Add to Driver Pay', the module will display the fields to enter the driver pay at the top. At the bottom, it will display all the current driver pay from the load.

  • When you start to enter your pay, you should select the 'Unit of Measure' first. The reason being, based off this selection we will auto generate the 'Unit Count' for the user. [This follows the same process and logic as the charges listed above]

  • Once they hit 'Apply' it will be added to the driver pay and will show in the 'Payable & Expenses' tab within the load.

  • Once the pay is added the icon will change to 'Review'

    • The user can click this to see the driver pay. They won't be able to add another pay line item for the same event from this page once they have added one already.

What if I have Waiting Time charges and driver pay set up to automatically apply to the load?

  • If the user has this process automated, we will look for the 'Waiting Time' charge name and that event will automatically show as 'Review' since it's already added. At this point they can just verify from this page.

Can I add charges to a secondary charge set?

  • No, from the 'Add to Charge Set' action it will only allow you to add to the default charge set.

Can I bulk add charges/pay?

  • YES! If you click on the check boxes on the left hand side, it will allow you to add the charges/pay in bulk.

  • It will ask you for Unit of Measure, Free Units, and Per Unit.

    • Note you don't have to enter the Unit Count as we are auto generating it.

  • Best practice for this would be to filter by Customer/Driver. As you will probably be charging/paying the same rate.

What does Attach Report do?

  • This will allow you to automatically generate a report that will be added to the 'Documents' tab section of the load as a 'Wait Time' document.

  • The Wait Time report will display the information you see on this dashboard and will include a screenshot of the tracking tab with the drivers location history at events location displayed on it.

Why can't I download a the report?

  • You must attach (i.e. generate) the report to the load. Once you do this, it will allow you to download said report.

Why can't I click the 'Email' icon?

  • We are currently working to add this functionality, it will be added soon.

What loads are currently showing?

  • To start we migrated the loads that were created within the last month that have not been billed yet.
