Load Tariff – supplies the rates
Charge Profile – defines what to charge and when
Charge Profile Group – organizes and applies the appropriate profile
Charge Set – collects the resulting charges for a specific Bill To
Each charge set is tied to one Bill To contact.
A single load can contain multiple charge sets, each corresponding to a different payer.
Charge sets are populated based on predefined rules or added manually as needed.
Understanding Charge Sets, Charge Profiles, Profile Groups, and Load Tariffs
This article provides a brief overview of key billing components—Charge Sets, Charge Profiles, Charge Profile Groups, and Load Tariffs—along with how they relate to each other in the billing hierarchy.
Hierarchy Overview
The billing logic flows in the following order:
What is a Charge Set?
A Charge Set is a collection of charges intended to be invoiced to a single Bill To party. It groups together all billable items associated with a load that are destined for one invoicing entity.
- To create charge sets and have them apply automatically to loads, go to the “Tariffs” section under the “Customers” menu.
What is a Charge Profile?
A Charge Profile defines the logic used to calculate specific charges based on load attributes such as distance, weight, or equipment type.
Determines which charges apply to a load (e.g., base rate, fuel surcharge, accessorial fees).
References Load Tariffs to assign rate values.
Automatically applies charges to the appropriate charge set during rating or load creation.
After clicking the “New” button in the upper-right corner, you’ll be taken to the Charge Profile configuration screen. Here, you can:
Enter a name for the charge profile
Select a charge name
Add an optional description
Choose the unit of measure
Define when the charge should apply to a load
Specify whether the charge should be auto-added
In the lower section, select the statuses the charge should calculate against
After clicking to add a charge, the middle section of the Charge Profile opens for configuration. This is the most powerful part of the profile, allowing you to:
Set start and end dates for different rates of the same charge
Maintain a historical record of rate changes
Proactively schedule rate updates based on weekly, monthly, quarterly, or other time-based intervals
After clicking “Add Charge”, the middle section of the Charge Profile becomes available for configuration. This section is key for managing rate changes over time, allowing you to:
Define start and end dates for different rates of the same charge
Create a historical record of rate changes
Schedule future rate updates proactively—by week, month, quarter, or custom intervals
What is a Charge Profile Group?
A Charge Profile Group is a collection of charge profiles organized for a specific use case, such as a customer, lane, or service type.
Allows prioritization: the system evaluates profiles in order and applies the first match.
Commonly assigned at the customer or contract level to control billing behavior across loads.
- To create a Charge Profile Group, start by selecting the “New Group” button. Then, check the boxes next to the charge profiles you want to include in the group.
What is a Load Tariff?
A Load Tariff is a rate table that provides the monetary values used in charge calculations.
Stores per-mile rates, per-stop fees, hourly charges, and more.
Can be customized per customer, lane, or mode of transport.
Used by charge profiles to determine how much to bill for each item.
After selecting the “Add” button, the Load Tariff configuration screen will appear. On the left side, you can set key parameters to define when the tariff should apply, including:
Customer (or apply to all customers)
Start and end dates
Load type and other criteria
- As shown on the screen, additional configuration options are available beyond the basic criteria. These allow you to further refine the tariff to ensure it applies only under the specific conditions you require.
The Charge Profiles or Charge Profile Groups you previously created can now be added to the Load Tariff as a Charge Set by selecting the “Add New Charge Set” button.
Based on the criteria configured on the left side of the screen and the rules defined in the Charge Profile, the associated charges will be automatically applied to any load that matches.
To create a one-off charge (not tied to an existing profile), use the “Add Charge Item” button to manually define and include a charge in the Charge Set.
- By selecting “Add New Charge Set”, you can create additional Charge Sets that are billed either to the matching customer or to a specified customer, depending on your billing requirements.
